Employment Services has grown from an in-house payroll department at Mersey and West Lancashire Teaching Hospitals NHS Trust, to become a regional shared service payroll provider offering services to over 20 NHS clients. The foundation of our service is based on detailed knowledge and understanding of the NHS and the unique requirements of NHS payroll clients. We strive to offer a personalised service for each client, we do not operate a large call centre, instead each client has dedicated, named payroll staff who use their broad NHS experience to support clients with their individual needs.

- Payroll Admin
The Payroll team are at the heart of Employment Services and the services offered to clients. The team is made up of 90+ professionals with experience spanning the NHS and private / public sectors. This breadth of experience, combined with our own internal apprenticeship and training programmes, ensure clients are working with payroll professionals at the forefront of the healthcare sector.
We strive to offer a personalised service for each client. We do not operate a large call centre, instead each client has dedicated, named payroll staff who use their broad NHS experience to support clients with their individual needs. We offer a high-quality service, delivered through the establishment of service catalogues, setting service provision expectations and requirements between Employment Services and Clients. We operate a continual review and development process through regular client meetings with a dedicated Payroll Operations Managers.

Human Resources Administration provides the link between Payroll and Recruitment, offering a range of services to clients and their employees throughout their employment life cycle.

Working collaboratively with clients and colleagues in recruitment and payroll, our experienced staff provide outstanding personalised service. Quality and accuracy are paramount to our service, and we ensure any local compliance agreements are adhered to and that GDPR (General Data Protection Regulation) and confidentiality guidelines are followed throughout the process.
- Pensions Admin
The Employment Services Pensions team provide the gateway between your organisation and NHS Pensions. Our team of 16 staff have over 70 years of combined NHS Pensions experience. This dedicated NHS experience was developed by providing pension services internally within St Helens & Knowsley Teaching Hospitals NHS Trust and gradually expanding our services to other NHS clients, building a broad range of pensions expertise.
- Service Development
Our Service Development Team are continuously looking at improving the way we work focusing on efficiency and ensuring we deliver best practice processes to all our clients. The team regularly develop, review, and maintain standard operation procedures to support our staff to give a high-quality service. Regular internal audits are carried out by the team on processes we deliver to identify any areas for improvements and work with our clients to imbed these changes.
Our Service Development Team also consist of an onsite Training Team whose goal is to provide regular training and updates to retain a professional standard of knowledge for each of our functions. We welcome new starters into our training academy, by working with them to develop their skills and support their payroll journey. From the first day they arrive, they are entered into our Training Academy where they will be introduced to the world of NHS Payroll then continued training and support is on hand once they are fully imbedded within their team. We stive on making sure all our staff are highly trained and can provide the best service to all our clients, whilst making sure our staff are continuously developing and reaching their goals and aspirations.
- Robotic Process Automation
Our RPA team are revolutionising administration tasks provided by our service. Looking at ways our service can be automated and rolling out robotic technology (BOTs) to support efficiency and assurance. The primary aim of the automation programme is to deliver improved efficiencies and reduce manual manipulation, without any detriment to the service we provide to our clients. Working with our clients to show how RPA can massively improve their service and how effective automation can be.
Within a period of 6 months of introducing our BOTs we have saved our workforce 247 workdays across our department, by removing monotonous administrative tasks so our staff can focus on value added tasks, our clients’ needs and the service we provide. We have also reduced the overtime needs which has supported our staff achieve a good balance between work and home life.
Some of the process we have been able to automate are as follows:
- Filed 22,964 files to Employee Personal Folders
- Completed 17,44 Statutory Sick Pay forms
- Communicated 3,422 Pension Auto-Enrolment and Re-Enrolments
- Distributed 2,037 Third Party Reports to clients Finance teams
- Supported Payroll processing for 75 weekly patchwork runs

Accreditations
We have been accredited the Payroll Assurance Scheme (PAS) award from the Chartered Institute of Payroll Professionals (CIPP). CIPP is the only chartered institute for pensions and payroll professionals in the UK. Their PAS is a nationally recognised and prestigious award and is an indication of quality standard within the payroll industry.

Best Practice Processes
Employment Services strives to ensure Best Practice is followed throughout the organisation. We have a dedicated Service Development team which ensures all our processes are aligned to ESR best practice and each stage of the payroll processing cycle is recorded and robustly monitored internal using check lists.
Our processes have been independently assessed by the Chartered Institute of Payroll Professionals (CIPP) and found to be fit for purpose at the time of assessment and that we have suitable processes in place for preparing and delivering legislative changes. Their assessment also demonstrates that we are dedicated to compliance and best practice in payroll.

You will have the direct numbers for payroll staff so you can discuss your needs directly with an individual who understands your organisation.
We operate a continual review and development process through regular client meetings with a dedicatedly Operations Managers. We truly believe that our staff is the key to helping us deliver ‘5-star customer service’ and as an organisation we are passionate about staff development and growing our talent. Our staff are regularly assessed, and development opportunities provided. We are a corporate member of The Payroll Centre, allowing the whole payroll team access to an entire range of materials and services, and the ability for us to rely on The Payroll Centre’s advice.
